Privacy Policy

Last updated October 11, 2026

The Presbyterian Church of Ghana, Hope Congregation (“we”, “us”) respects your privacy. This policy explains what information this website collects, why, and the choices you have.

1. Information we collect

We only collect information you choose to give us, plus basic technical data needed to run the site:

  • Contact form: your name, email address, optional phone number, subject and message. We also record your IP address and browser type to prevent spam and abuse.
  • Suggestion Hub: the suggestion you submit and any files you attach. Suggestions are processed by DoxSuite, our congregation management provider.
  • Member Portal: the Member Portal is run by DoxSuite on a separate site and is covered by its own terms and privacy practices.
  • Staff accounts: name, email address and login details for church staff who manage the site.
  • Usage and error data: anonymous page-view statistics and site performance measurements, and diagnostic reports when something goes wrong (see section 4).

We do not sell products online, take payments on this site, or ask visitors to create accounts.

2. How we use your information

  • To reply to your messages and send you a confirmation that we received them.
  • To consider suggestions from members and the wider community.
  • To keep the site secure, prevent spam, and fix problems.
  • To understand which pages are useful so we can improve the site.

3. Photos from church events

We publish photo albums from services and church events so that members can view and download them. Albums remain available on the site unless they are removed.

If you appear in a photo and would like it removed, email us at administrator@hopepresby.org with a link to the photo and we will take it down.

4. Analytics, error monitoring and cookies

We use Vercel Web Analytics and Speed Insights to count page views and measure performance. They do not use cookies and do not identify individual visitors.

We use Sentry to detect errors. When an error occurs, and for a small sample of visits, Sentry may record a replay of how the page behaved. All text is masked and all images and media are blocked in these replays, so they do not capture what you type or read.

The site sets cookies only for church staff who sign in to the admin area, to keep them signed in. Public visitors are not given tracking cookies.

5. Embedded content

Our livestream page embeds video from YouTube or Facebook, and our contact page embeds a Google map. When you view these, the provider may collect data about you under its own privacy policy, as if you had visited its site directly.

6. Who we share information with

We do not sell or rent your personal information. We share it only with service providers that help us run the site:

  • Vercel (website hosting and analytics)
  • Neon (database hosting)
  • Amazon Web Services (photo and media storage)
  • Resend (sending email replies and confirmations)
  • Sentry (error monitoring)
  • DoxSuite (Suggestion Hub and Member Portal)

Some of these providers store data outside Ghana. We may also disclose information where the law requires it.

7. How long we keep it

We keep contact messages for as long as needed to respond and for our records, and delete them when they are no longer needed. Staff account details are kept while the person serves in that role.

8. Your rights

Under Ghana's Data Protection Act, 2012 (Act 843), you can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. To make a request, email administrator@hopepresby.org.

9. Children

The site is not directed at children, and we do not knowingly collect personal information from children through it. Parents or guardians who believe a child has sent us information can ask us to delete it.

10. Changes and contact

We may update this policy from time to time. The date at the top shows when it last changed.
